Cancellation and Refund Policy
This Cancellation and Refund Policy explains the terms applicable when you cancel or modify a booking at Samrudhi Nature Retreat (“we”, “us”, “our”). It forms part of our Terms and Conditions. Please read it carefully before confirming your booking.
1. How to Cancel or Modify a Booking
To cancel or modify a confirmed booking, please contact us in writing at contact@samrudhinatureretreat.com or by phone at [phone number], quoting your booking reference number. Cancellations and modifications are effective only once acknowledged in writing by us. The date and time we receive your request will be used to determine any applicable charges.
2. Cancellation Charges
Unless a different policy is stated at the time of booking (for example, for special offers, peak seasons, or group bookings), the following cancellation charges apply:
Cancellation [15] or more days before the check-in date: full refund, less any non-refundable booking or processing fees.
Cancellation between [7 and 14] days before the check-in date: [50%] of the total booking amount will be charged; the balance will be refunded.
Cancellation [less than 7] days before the check-in date: [100%] of the total booking amount will be charged; no refund will be payable.
No-show or early departure: the full booking amount will be charged, and no refund will be payable for unused nights.
3. Non-Refundable Bookings and Offers
Certain rates, packages, promotional offers, and advance-purchase bookings may be designated as non-refundable at the time of booking. Where a booking is marked non-refundable, no refund will be provided in the event of cancellation, modification, or no-show, regardless of the timing of the request.
4. Group and Event Bookings
Bookings for groups, events, weddings, corporate functions, or exclusive use of facilities may be subject to separate cancellation terms, deposits, and timelines, which will be communicated to you at the time of booking. These terms will take precedence over the standard cancellation charges above.
5. Modifications to Bookings
Requests to change dates, room types, or the number of guests are subject to availability and may result in a change in rate. We will do our best to accommodate modification requests, but we cannot guarantee them. Any difference in rate will be payable by you, and modifications made close to the check-in date may be treated as a cancellation and rebooking, attracting the applicable cancellation charges.
6. Refund Process
Approved refunds will be processed to the original method of payment within [7 to 14] business days of confirming the cancellation, unless otherwise required by law. The time taken for the refund to reflect in your account may vary depending on your bank or payment provider. Any bank charges, payment gateway fees, or transaction costs may be deducted from the refund where applicable.
7. Cancellations by Us
In rare circumstances, we may need to cancel or modify a booking due to reasons beyond our control, including force majeure events, safety concerns, or operational requirements. In such cases, we will notify you as soon as possible and offer, at our discretion, an alternative date, a suitable alternative, or a full refund of amounts paid. Our liability in such circumstances is limited to the amount paid for the booking.
8. Force Majeure
We are not liable for cancellations or an inability to provide services due to events beyond our reasonable control, including natural disasters, extreme weather, epidemics, government restrictions, or other force majeure events. In such cases, refunds or rescheduling will be handled at our discretion and in accordance with applicable law.
